How To: Availability Exceptions

Overview:

Availability Exceptions are used for total closures of a location, program, or session on one day. This article will provide step-by-step instructions on setting up an Availability Exception.


Step-by-Step Instructions:

  1. First, you will log in to the Alaris Admin Web Portal.
  2. Next, you will select Setup - Availability Exceptions.
  3. Here, you will select +Add in the top right corner.

  1. Select the date of the closure. Then, write a brief description. Typically, we write the name of the facility or program that will be closed here. (Example: 4th of July Closure - Alaris YMCA)
  2. Next, select either the Location, Program, or Session. Only one field is required, not all.
    • Location: The entire facility is closed for this day.
    • Program: An entire program and all of it's corresponding sessions are closed for this day.
    • Session: An individual session is closed for this day.

6. Once you have selected the desired configuration, you are all set. Press Save. You're done! 🥳




This can also be done through Capacity Restrictions.

  1. Log in to the Alaris Admin Web Portal.
  2. Select Setup on the left. Then, select Capacity Restrictions.
  3. Open the existing Capacity Restriction for your location or program.

  1. A window will appear to the right. Select Overrides at the bottom.

  1. Add an override for the date of your closure. Set the availability to 0.

  1. This will close the session for that date.
  2. Press Save.
  3. You're done!
